TL;DR: How AI Can Transform Golf Club Management

Managing a golf club requires juggling multiple responsibilities, from member engagement and staff training to marketing, finances, and event planning.

Whether you're a General Manager, Golf Professional, or Food & Beverage Manager, ChatGPT can be a powerful AI assistant that helps you automate tasks, make smarter decisions, and enhance the experience for both members and guests.

This article outlines 21 practical ways that ChatGPT can help streamline golf club management, providing real-world use cases, example prompts, and a step-by-step guide for leveraging AI in your daily workflow.

WARNING: ChatGPT and other LLMs are not perfect. They are amazing tools, and can quickly perform functions and produce content way faster than a human can. But they are notoriously good at giving you any answer, even if they don’t know the right or best one.

You need to take responsibility for your ChatGPT generated content and edit it as you need to. You should edit everything important, and make sure a real human has the final say on what gets a pass and what gets edited or cut.

We use ChatGPT primarily.

For the purposes of this article, we will use it as a placeholder. But you can replace the instructions with any LLM you choose.

The High-Level Benefits of Using ChatGPT in Golf Club Management

Before we dive into specific ways ChatGPT can assist golf club managers, let’s highlight some overarching benefits:

Time-Saving Automation: AI can handle repetitive tasks like email responses, event scheduling, and content creation, freeing up your time for more strategic work.

Improved Decision Making: ChatGPT can analyze financial trends, membership data, and market insights to help managers make informed decisions.

Enhanced Member Engagement: AI can generate personalized messages and social media content to improve member communication and engagement.

Consistency & Professionalism: AI ensures all written materials, from staff training guides to marketing emails, maintain a professional and polished tone.

Better Event & Operations Management: From crafting event schedules to optimizing food inventory, ChatGPT streamlines operations, reducing waste and inefficiencies.

Competitive Edge: Early adoption of AI-driven tools positions your golf club as innovative and ahead of industry trends.

Tips for Creating Effective Prompts for ChatGPT

To get the most out of ChatGPT, it’s crucial to craft well-structured prompts. Here are some tips for creating effective prompts:

  1. Be Specific: Instead of asking “Give me some marketing ideas,” try “Generate five social media post ideas to promote a golf tournament with a casual and engaging tone.”

  2. Provide Context: Include details like your club’s target audience, event details, or specific goals. Example: “Write a job description for a golf club pro shop associate, highlighting key skills and responsibilities.”

  3. Use Role-Based Instructions: Tell ChatGPT to act as an expert. Example: “Pretend you are a golf course general manager drafting a new member email introducing a loyalty rewards program.”

  4. Ask for Variations: Generate multiple versions of an answer to find the best one. Example: “Give me three different ways to introduce a new restaurant menu to club members.”

  5. Refine & Iterate: If the first response isn’t perfect, refine the prompt. Example: “Rewrite this event invitation to make it more engaging and urgent.”

Alternative LLMs to ChatGPT

While ChatGPT is a leading AI assistant, other language models can provide similar benefits:

  • Claude (Anthropic): Known for being highly conversational and providing thoughtful, long-form responses.

  • Google Gemini (Formerly Bard): Integrated into Google’s ecosystem, great for research and answering industry-specific queries.

  • Mistral AI: A powerful, open-source model designed for customizable AI applications.

  • Llama (Meta): Open-source AI model that can be fine-tuned for specialized needs.

  • Perplexity AI: Built for research and answering complex questions with sourced references.

Each AI tool has its strengths, so depending on your needs, you might explore different models to complement ChatGPT.

Now let’s dig into the Top 7 Uses of Chat GPT for Golf Club General Managers, Golf Professionals, and Food & Beverage Managers.

For General Managers: Streamlining Operations and Member Engagement

General Managers oversee the entire club, from financial planning to member satisfaction. Here’s how ChatGPT can assist:

1. Automate Member Communications

Use ChatGPT to draft and personalize member emails, newsletters, and announcements. Whether it's updating members on upcoming events, course maintenance schedules, or new policies, ChatGPT can generate engaging and professional content instantly.

🔹 Example Prompt:
"Generate a monthly newsletter update for club members, highlighting upcoming events, course maintenance updates, and any changes in club policies."

✅ Example:
"Dear Members, we are excited to announce our Spring Invitational Tournament…"

💡 Pro Tip: You can also use ChatGPT to automate follow-ups after events, thanking attendees and requesting feedback.

2. Improve Staff Training and Onboarding

You likely have some written and documented “playbooks” and SOPs, or Standard Operating Procedures that you run your club by. If you don't, you really should. But even if you do, you can run them through Chat GPT and ask for improvements, edit recommendations, section expansion and anything else you want to tell it to do to improve your staff training and onboarding.

ChatGPT can generate training materials, quizzes, and FAQs for new hires. This ensures a consistent onboarding process without taking too much time from you and your other senior staff.

🔹 Example Prompt:
"Create a comprehensive 'New Employee Handbook' outlining customer service expectations, club policies, dress codes, and emergency procedures. Use the content tone, style, and specifics found at www.yoursite.com to craft the handbook"

Example:
Here’s a new structured "New Employee Handbook", including standardized customer service best practices for every role/department and every possible member interaction, club policies, and emergency procedures.

💡 Pro Tip: Use ChatGPT to develop role-specific training guides for different positions. This ensures each of your employees receives tailored information and instructions that will help them do their job the best the can. Each role could be listed and outlined in detail in the single comprehensive New Employee Handbook.

3. Analyze Club Finances and Create Reports

Every business needs to know its numbers. But not just the numbers, you also need to know exactly what to do with the numbers.

We need to make sound decisions based on past, present, and future sales and expense numbers.

So you can ask ChatGPT to help you summarize financial data, explain financial trends, and draft reports for board meetings.

What might take you hours to review Chat GPT can do in moments.

🔹 Example Prompt:
"Analyze the financial data for the last quarter attached in a PDF and provide a summary report on revenue trends, cost savings opportunities, and membership retention."

Example:
"Based on the latest membership renewals, we have seen a 10% increase in retention this quarter from last quarter…"

💡 Pro Tip: ChatGPT can also assist in forecasting revenue trends by analyzing past financial patterns and suggesting adjustments to pricing, special offers, or expenses.

4. Generate Social Media and Marketing Content

If you are not actively using social media, you really need to be.

If you want new eyes on your club, or at least want your club in front of more eyes more often, even if they already know about you, you will be throwing money away if you are not on social media.

Because even if your ideal clientele are not on social media, Google and the other search engines assess your online digital marketing presence across all platforms and give you a Page Rank (authority) score. This contributes to how you show up in search rankings.

Being active on social media benefits you in many more ways than just getting direct traffic directly off the social media channels you are active on.

You can create engaging social media posts and marketing emails to promote tournaments, new club amenities, and membership benefits.

🔹 Example Prompt:
"Draft five social media posts promoting our upcoming Member-Guest Tournament, including event details, benefits of participation, and a call to action to register."

Example:
"🌟 Join us for our upcoming Member-Guest Tournament this Friday! Win one of our club’s most coveted championship titles 🍷 Book your spot now!"

💡 Pro Tip: Use ChatGPT to generate multiple variations of posts so you can test engagement rates and optimize your messaging. Ask it for seasonal variations, holiday-themed versions, current events-themed posts, and anything else you can imagine to get multiple results than you can use to schedule posts year round months in advance so you can set it and forget it.

5. Create Event Itineraries and Schedules

Instead of spending hours planning events, use ChatGPT to draft detailed event schedules, itineraries, and promotional content.

🔹 Example Prompt:
"Create a detailed schedule for our Annual Club Championship, including start times, match formats, meal breaks, and award presentations."

Example:
"Our Member-Guest Tournament will follow this schedule: 8 AM Registration, 9 AM Shotgun Start, 1 PM Lunch, and 3 PM Awards Ceremony."

💡 Pro Tip: You can ask ChatGPT to suggest event themes, promotional taglines, and even script speeches for opening and closing ceremonies. You can write short first drafts or basic outlines and ask ChatGPT to expand on it to create the final edits.

6. Draft Policies and Procedures

From writing emergency protocols to updating club policies, ChatGPT can standardize internal documentation for staff and members.

🔹 Example Prompt:
"Draft a new policy for golf cart usage, outlining safety protocols, areas where carts are restricted, and penalties for violations."

Example:
"Golf cart rules: Carts must stay on designated paths and avoid greens and bunkers at all times."

💡 Pro Tip: ChatGPT can help keep policies clear, concise, and legally compliant by incorporating best practices from industry standards.

7. Conduct Market Research and Competitor Analysis

Do you know what all your local competitors are up to? Do you have a detailed understanding of everything you could possibly know about them?

ChatGPT can help research industry trends, compare membership offerings, and suggest improvements based on competitor analysis.

🔹 Example Prompt:
"Provide a comparative analysis of membership benefits and pricing structures of our club versus three nearby private clubs. Include potential areas where we can improve our offerings."

Example:
"Here’s a comparison of membership rates and benefits from five nearby private clubs…"

💡 Pro Tip: Ask ChatGPT to generate actionable insights from the analysis, such as new perks or membership tiers that could attract more members.

This was only 7 of many ways Golf Club General Managers can use Chat GPT to help them do their jobs smarter and faster.

Now let’s dig into Golf Professionals.

For Golf Pros: Enhancing Lessons, Engagement, and Sales

Golf Professionals focus on instruction, pro shop sales, and engaging members in the sport.

Here’s how ChatGPT can assist:

8. Create Personalized Lesson Plans

ChatGPT can generate customized training programs based on skill level, goals, and weaknesses. Whether working with beginners or advanced players, AI can help structure progressive lesson plans.

🔹 Example Prompt:
"Create a structured 6-week golf improvement plan for an intermediate golfer, focusing on driving accuracy, iron play, and bunker shots."

Example:
"Beginner lesson plan: Focus on grip, stance, and swing fundamentals. Drill: Half-swing chip shots for improved contact."

💡 Pro Tip: Use ChatGPT to design customized practice routines for junior golfers, seniors, or competitive players.

9. Write Blog Articles or Golf Tips for Members

A weekly newsletter published 52 weeks of the year, every year, is one of the most underutilized and undervalued, non-invasive, relationship building, high-value, and revenue generating marketing activities any business can do.

We will write many more detailed articles on the best ways to leverage Email Marketing for Golf Clubs in the future.

But starting right now, you can engage members with a weekly golf tip newsletter or a blog post on your club’s website.

Educational content improves member satisfaction and encourages participation.

You are the trusted advisor of all your members. Use Chat GPT to quickly become a publisher of valuable content to earn the trusted advisor title.

🔹 Example Prompt:
"Write a blog post on ‘The Key to a Consistent Golf Swing: How to Improve Your Tempo and Balance.’"

Example:
"The secret to a better short game? Focus on tempo, not speed. Here’s why…"

💡 Pro Tip: Use ChatGPT to generate FAQs on swing mechanics, short game strategy, and mental focus for your members.

10. Generate Club Fitting Recommendations

This is another revolutionizing way Golf Pros can tap into Chat GPT to wow their members and clients.

ChatGPT can suggest equipment based on swing style, speed, and preferences, making club sales in the pro shop more efficient.

🔹 Example Prompt:
"Provide a club fitting recommendation for a golfer with a 90 mph swing speed who struggles with slices."

Example:
"For a golfer with a slower swing speed, I recommend a graphite shaft with a higher loft angle to maximize distance."

💡 Pro Tip: Use AI-generated fitting guides to help members make data-driven purchasing decisions in the pro shop.

11. Plan Golf Clinics and Member Engagement Events

Instead of spending hours brainstorming event ideas, let ChatGPT generate creative golf clinics, demo days, or junior camps to boost participation.

It can plan, schedule, and organize the events. It can generate every written asset needed.

🔹 Example Prompt:
"Suggest five creative golf clinic ideas that focus on different skill levels and include engagement activities."

Example:
"How about a ‘Parent-Child Scramble’ this summer? A fun way for families to enjoy golf together! I can map it out in more detail if you want."

💡 Pro Tip: Use ChatGPT to create event promotional flyers and email campaigns to maximize participation.

12. Write Sales Copy for Pro Shop Promotions

Use ChatGPT to craft promotional messages for new club arrivals, apparel, or holiday sales that entice customers.

🔹 Example Prompt:
"Write a promotional email for our pro shop's spring sale, featuring discounts on drivers, wedges, and putters."

Example:
"⛳️ New TaylorMade Drivers just arrived! Upgrade your game—come into the Pro Shop for a free test swing this spring!"

💡 Pro Tip: Generate multiple ad variations to test engagement rates across email and social media.

13. Answer Golf Rules and Etiquette Questions

Golf Pros are constantly asked about rules and etiquette.

But if the answer is going to be the same every time, you can use Chat GPT to create an outline you can customize to your needs. Then share that with all members for their reference.

ChatGPT can provide quick and accurate answers with references to official rule books.

🔹 Example Prompt:
"Summarize the USGA rule on unplayable lies and when penalty strokes apply."

Example:
"Can I move my ball if it lands in a divot? Here’s what the USGA Rules say…"

💡 Pro Tip: Compile a member-friendly rulebook FAQ using ChatGPT for quick reference.

14. Draft Player Development Programs

Offer structured 6-week or 12-week player improvement programs using ChatGPT to organize progress tracking and drills.

Not drafting every word from scratch will save you hours of time.

🔹 Example Prompt:
"Create a 12-week advanced player development program, focusing on distance control, mental resilience, and tournament preparation."

Example:
"Week 1: Short Game Mastery – Putting drills and green reading exercises. Week 2: Iron Play – Consistent ball striking techniques."

💡 Pro Tip: Use ChatGPT to track player improvement and adjust drills based on progress.

For Food & Beverage Managers: Enhancing Guest Experience and Efficiency

The dining experience is a critical part of your golf club.

And you can use ChatGPT to streamline your F&B operations and improve customer service.

Here’s 7 ways Golf Club Food & Beverage Managers can leverage Chat GPT to work smarter and faster while increasing your member service.

15. Create Weekly or Seasonal Menus

Instead of manually crafting menus, use ChatGPT to generate seasonal dish ideas, wine pairings, and healthy options that cater to member preferences and dietary requirements.

🔹 Example Prompt:
"Generate a winter menu with hearty, comforting dishes and suggested wine pairings."

Example:
"Spring Menu: Lemon-Dill Grilled Salmon, Asparagus Risotto, paired with a crisp Sauvignon Blanc."

💡 Pro Tip: Use ChatGPT to personalize menus based on member feedback and dining trends.

16. Automate Reservation and Event Planning Emails

ChatGPT can draft confirmation emails, reminders, and personalized invitations for F&B events, ensuring seamless communication.

"Join us this Sunday for a Champagne Brunch on the terrace. Reserve your table today!"

💡 Pro Tip: Automate email sequences for follow-ups and thank-you messages after events.

💡 Pro Tip: Use AI to generate hashtags and captions that increase engagement and reach.

19. Create Wine and Food Pairing Suggestions

💡 Pro Tip: Offer weekly wine pairing specials and use AI to provide tasting notes for each pairing.

20. Develop Cost-Effective Food Inventory Plans

ChatGPT can assist with menu cost calculations, portion control, and supplier comparisons to maximize margins and reduce waste.

🔹 Example Prompt:
"Analyze the cost-effectiveness of our current appetizer menu and suggest alternatives to optimize food costs."

Example:
"Your current seafood costs for the month are $4600. Switching to a different vendor for seafood could reduce costs by 10% while maintaining quality."

PODCAST TRANSCRIPT

Clayton Elliott (00:02)

Welcome to the ACE Call AI podcast where we help golf club managers win with AI. Managing a golf club today is harder than ever. So we created simple AI solutions and a podcast to make it easier for you. I'm Clayton Elliott.

Brad (00:18)

I'm Brad Milligan. Together, we bring a mix of entrepreneurial innovation and decades of golf club management experience to help you optimize your club, increase profitability, and elevate the member experience. So let's dive in.

Clayton Elliott (00:33)

Right on, Brad. Managing a golf club today involves juggling numerous responsibilities across all the normal departments of a golf club. And with the integration and the release and kind of popularization of AI in the general public, particularly tools like ChatGPT, this tool and those like it can significantly streamline

many of these tasks, many of these assets or emails or spreadsheet formatting and data processing, it can do everything. So how do you see AI transforming the daily operations of golf clubs based on, you know, your

two plus decades of experience in club operations and in your last recent years exposure to AI and kind of, you're deepening your understanding of AI. How do see it transforming golf clubs operations?

Brad (01:34)

That's a good question, Clay. mean, AI offers a range of benefits, including automating repetitive tasks, enhancing decision-making through data analysis, and improving member engagement with personalized communications. It can also write responses to your emails and shave hours a day off your time in your inbox. Gmail's Gemini is already right there at your fingertips. Not sure if you've used it or not, but it is there.

now permanently for people to test out. By adopting AI, clubs can operate more efficiently and basically provide a superior experience to their members.

Clayton Elliott (02:12)

Yeah, it's about working smarter, not harder for lack of a better phrase and to risk saying something cliche, but it's true though. It's about working smarter, not harder, doing more with less, but also not burning yourself out by doing more with less, right? It's actually making things a lot easier. AI can handle routine tasks, a long list of routine tasks. Even if you manually have to do the task, you can tap in

chat GPT or comparable LLM and have them sort, sift, edit, review, synthesize, summarize. It can do all this stuff in seconds. That would take you manually, you know, hours to do. And this allows managers to focus on strategic initiatives, know, things that drive growth and most importantly, and above all, member satisfaction and retention.

So, okay, let's dive in to the 21 specific applications for how general managers can utilize chat GPT to really improve and enhance operations and member engagement as well. We're gonna keep it tight today. We're gonna really focus on these 21 and keeping it to our notes. We can go deeper in any one of these and really give you some more examples of good prompts.

how we're going to run this. We'll go through each point, give an example, explain what it is, and then give an example prompt. If you want these prompts, you don't have to write them down. You can just give us a call at 1-866-838-8581 and say you would like the Chat GPT prompt resource and we'll send it over to you right away.

Brad (04:02)

Awesome, great resource there, Clay. Let's get right into it then. Number one, starting at the top here, automate member communications. So you can use ChatGPT to draft and personalize member emails, newsletters, and announcements. Whether it's updating members on upcoming events, course maintenance schedules, or new policies, ChatGPT can generate engaging and professional content instantly. An example prompt would be, generate a monthly newsletter update

for club members, highlighting upcoming events, course maintenance updates, and any changes in club policies. Here's a pro tip. You can also use ChatGPT to automate follow-ups after events, thanking attendees and requesting feedback.

Clayton Elliott (04:49)

Cool. Thanks, Brad. Number two, you can use ChatGPT to improve staff training and onboarding. ChatGPT can generate training materials, quizzes, and FAQs for new hires. This ensures a consistent onboarding process without taking too much time from you and your other senior staff. So an example prompt that you could give a GPT.

Create a comprehensive new employee handbook outlining customer service expectations, club policies, dress codes, and emergency procedures. Use the content, tone, style, and specifics found at www.yourwebsite.com to craft the handbook. So for example, you can put a link to your website and say, use this website to...

get a tone, a style, right? To make this handbook. So there's the same look and the same feel in the verbiage and the language and the details about your club can be translated easily into a handbook. And so a pro tip is use ChatGPD to develop role specific training guides for different positions.

This will ensure that each of your employees receives tailored information and instructions that will help them do their job the best they can. Each role could be listed and outlined in detail and in the single comprehensive new employee handbook, but each section can be really dialed in for each role so that every role knows exactly what's expected of them and no one's being presumptuous in any way.

Brad (06:35)

Wow, that's a really good one. That could save a ton of time there for managers. Number three, analyze club finances and create reports. Every business needs to know its numbers. That's a no-brainer, but not just the numbers. You also need to know exactly what to do with the numbers. We need to make sound decisions based on past, present, and future sales and expense numbers. So you can ask Chet GPT to help you summarize financial data.

Explain financial trends and draft reports for board meetings. What might take you normally hours to review chat GPT can do in basically in moments. Here's an example prompt here. Analyze the financial data for the last year attached into PDF and provide a summary report on revenue trends, cost savings, opportunities, and member retention. So chat GPT pro tip here. Chat GPT can also assist in

forecasting revenue trends by analyzing past financial patterns and suggesting adjustments to pricing special offers or expenses. So it's really overseeing all of your expenses and the back end. Really fantastic.

Clayton Elliott (07:46)

Yeah. And just that second set of eyes that can sift through and bring things right to the top of the pile to your attention without you having to manually do it or someone else having to manually do it. And again, someone always has their hands on the finances. This thing isn't, you know, but you're, you're giving it data when you upload as PDF or an Excel spreadsheet and you say, look at these numbers and give us some feedback on the numbers. It's not going off of anything other than the uploaded document and the numbers in that document. So it's not giving you its, its opinion or its speculation.

Brad (07:52)

Yeah, agreed.

Sure.

Exactly.

Clayton Elliott (08:16)

doing exactly what it's been instructed to do given the numbers that you provided to it. So cool. Number four, generate social media and marketing content. Even if your ideal clientele are not on social media, if you happen to be a fortunate club that has a very long waiting list and...

lot of referrals, you may not think you need this, but you know, Google and the other search engines, but if you do need it, then all the more reason to do this and to do it efficiently and effectively, but Google and the other search engines, they're assessing your online digital marketing presence across all platforms. And they give you what's called a page rank or an authority score. And this contributes to how you show up in search rankings.

So, you being active on social media benefits you in many more ways than just getting direct traffic directly off of the social media channels that you're active on. You know, if someone's going to join your exclusive golf club, they might not find you from a tweet, but you you still can create engaging social media posts and marketing emails to promote tournaments and new club amenities and membership benefits. And it's a good way to...

Keep active online, which will always work to your benefit with the search engines. an example prompt for using ChatGPT in this way, drive five, or sorry, draft five social media posts promoting our upcoming member guest tournament, including event details, benefits of participation, and a call to action to register. That single prompt will give you more than enough content to promote an upcoming tournament.

And a pro tip is to use ChatGPT to generate multiple variations of posts. So you can actually test engagement rates and optimize your messaging. And you can ask it also for seasonal variations, holiday themed versions, current events, themed posts, really anything else that you can imagine to get multiple results. Then you can use those to schedule posts year round, months in advance so that you can set it and forget it.

You could do a year's worth of content creation in a day or two, or someone in your, on your staff could.

Brad (10:32)

That's a one.

Yeah, that's an excellent one. And you don't know, again, we don't know what times could bring. So you might have a thriving wait list here this year and think you're good for the foreseeable future, but you never know what's going to happen. And then you want to be able to be found online. And like Clay said, you want to be in good standing with Google. All right, number five, create event itineraries and schedules. So instead of spending hours planning events, use ChatGPT to draft detailed event schedules, itineraries,

and promotional content. So an example prompt here is create a detailed schedule for our annual club championship, including start times, match formats, meal breaks, and award presentations. Pro tip for this one, you can ask chat GPT to suggest event themes, promotional taglines, and even script speeches for opening and closing ceremonies. You can write short first drafts or basic outlines and ask chat GPT to expand on it to create the final edits. That one could be

extremely helpful for running a tournament, especially if you don't have lot of experience in tournaments, you can really get a lot of the bulk of the work done for you.

Clayton Elliott (11:48)

Yeah. And with tools like this, you can take people in your, on your staff who may be, how do you say this? It might not be their strong suit to write and produce all this stuff from scratch.

Brad (11:58)

Sure.

Sure.

Clayton Elliott (12:01)

But if you're operating with the crew you're operating on and you have some other office administrators who maybe haven't done this in the past, but you can give them a prompt or a series of prompts and say, go put these prompts in. It's going to generate some results, copy and paste those results into a Google doc, share it with the team. Then we can all collaborate on it, update it and edit it, get a final working document done. Again, 10 % of the time it would take someone to do it from scratch.

Brad (12:27)

Yeah, amazing.

Clayton Elliott (12:29)

experience with it or even expect your someone experience with it, but also beginners who would take even longer than someone experience with it. You know, drafting these things up from scratch. Number six, draft policies and procedures. This can be for creating SOPs from writing emergency protocols to updating club policies. You can take your current policies, upload them to chat.tpt and say, review this.

Find anywhere things are unclear, find anywhere where things could be expanded on to make it more easily readable, consumable, but actionable for all members and all staff. You know, how could this be made better? And it will give you, it's an editor. will, will, it will edit what you've already have. and it can also standardize internal documentation for staff and members. You can ask it for tips and how to better structure, internal processes, procedures, protocols, and SOPs in general. So to

example prompt for this would be draft a new policy for golf cart usage, outlining safety protocols from 2025 OSHA website guidelines, areas where carts are restricted and penalties for violations. This is

That alone could give you a whole outline. could also ask it for these things. Give me an outline for a new policy that includes all of this. And then when it gives you an outline, then section by section, go in and say, great, now expand on this section, a hundred words or 50 words or two paragraphs. You know, you can build it out over time. It does have limitations. It won't write you a one shot, a 50,000 word operations manual.

But if you ask it for an outline for one, it'll give you a very detailed, full comprehensive outline. And then you got to go through it and section by section, give it prompts to give, so that it will give you what you want for each section. And then you just kind of tab it, put them all together for a final working document. Pro tip for this use, ChachiPT can help keep policies clear and concise and legally compliant by incorporating best practices from golf industry standards.

Brad (14:42)

Awesome. Yeah. And like we keep mentioning, you have to have a human being on your staff, read these things over and make sure they're congruent, right? You can't just, you know, pump this out of chat GPT and just send it off and upload it and you're done. You need a human being to look at this stuff. And you would want that, that human element, that touch to make sure it is congruent with your actual clubs, policies and procedures. exactly.

Clayton Elliott (15:03)

Yeah, your tone and you want to proofreader, but it's, you know,

it's, it's, it's way faster to edit something that's already written in, in full than to have a blank document and work from a blank document or even a generic template that you have to constantly be editing. can say, give me specifically what I'm looking for. It will create a new time, a customizable template for that specific purpose.

Brad (15:09)

so much faster.

Ugh.

It's basically like a high powered secretary who just writes things for you extremely quickly. All right. Number seven, conduct market research and competitor analysis. Do you know what all your local competitors are up to? Do you have a detailed understanding of everything you could possibly know about them? ChatGPT can help research industry trends, compare membership offerings, and suggest improvements based on competitor analysis.

Clayton Elliott (15:28)

That's it. That's it.

Brad (15:52)

An example prompt for this would be provide a comparative analysis of membership benefits and pricing structures of our club versus three nearby private clubs include potential areas where we can improve our offerings. So pro tip for this one is ask chat GPT to generate actionable insights from the analysis, such as new perks or membership tiers that could attract more members. This was only seven of many ways.

golf club general managers can use chat GPT to help them do their job smarter and faster. Now let's shift a little bit. Let's dig into golf professionals. For golf pros, enhancing lessons, engagement and sales, golf professionals focus on instruction, pro shop sales and engaging members in the sport. Here's how chat GPT can assist with that.

Clayton Elliott (16:44)

Cool, thanks, Brad.

Number eight on this list, or number one in this category, create personalized lesson plans. So Chat GPT can generate customized training programs based on skill level, goals, and weaknesses. Whether you're working with beginners or advanced players, AI can help structure progressive lesson plans. So an example prompt for this use case would be create a structured six-week golf improvement plan for an intermediate golfer focusing

on driving accuracy, iron play, and bunker shots. So a pro tip would be use ChadGPT to design customized practice routines for junior golfers, seniors, or competitive players. And that way you have these routines already kind of laid out. And then you can go back into ChadGPT and ask it to further customize these practice routines for each.

skill level, but then you can also give it prompts for the individual. So it can use that form, that template with the input that's personal to the actual individual. And then it can make a customized personalized practice routine for John Smith, the junior golfer.

and with his goals, all the stuff you would get in the onboarding and the intake, all of that information, you could feed into ChatGPT and say, make me this customized lesson plan for a beginner with also these inputs, these tendencies, these informations, and so on and so on. And it can, this would take, again, hours and hours and hours of doing on your own.

And it makes the members feel like someone sat there and like made it for them drafted this up for them personally. It's really powerful personalization ability here.

Brad (18:43)

Yeah. And I know if there's any golf pros listening to this, we're, you know, we're supposed to schedule lessons and have plans for them, but it just, in reality, you get in the thick of things. You're in the middle of June and you're, you're doing camps and clinics and you're running tournaments. This is something that you really can't spend hours and hours on. but it is a necessary tool to have so that you're not showing up to the lesson. And the classic line is showing up to a lesson saying, okay, what do you want to work on today to the person?

Right, it's just showing up and saying, what do you want to work on? And they're like, I don't know, like maybe have a look at me and see, like can you diagnose what's going on here? Whereas if you show up with a plan, yeah, what do you think about me, right? So there's nothing, there's nothing worse, especially if you don't know the individual and you show up and it's your first lesson with them, you should have a plan, whether, you know, to figure out where they are in a baseline, a little test or something like that. So this chat GPT can help you really cut corners there, but in a good way.

Clayton Elliott (19:20)

Yeah, what do you think?

Yeah. And,

and, and, and imagine creating that, sending it over to them prior to your first meeting in person and having them review it. And then, you know, going back and forth on voicemail, a voice note or whatever, or however you would, you would chat with your, your, your, clients. And then when you meet in person, they've already reviewed your customized program, your customized training and practice routines that they feel you made for them.

Brad (19:43)

Yeah. Yeah.

Mm-hmm.

Yep.

Yep.

Clayton Elliott (20:05)

and

they can give you feedback on it. So when you actually meet up in person, you're like, all right, this is your six week program. After six weeks, we're going to check in on this, this, this ABC one, two, three. People are going to feel very taken care of. And again, this would take somebody that could take you hours. You get done in a matter of 10 minutes, 10, 15 minutes of actually sitting down and plugging some points in and hitting the prompt. You could have this done for someone.

Brad (20:16)

Definitely.

Yeah, amazing. Okay. Number nine, write blog articles or golf tips for members. So a weekly newsletter published 52 weeks of the year every year is one of the most underutilized and undervalued non-invasive relationship building, high value and revenue generating marketing activities any business can do. We will write, you know, we'll write many more detailed articles on the best ways to leverage email marketing for golf clubs in the future. I think that's important to touch on.

But starting right now, you can engage members with a weekly golf tip newsletter or a blog post on your club's website. Educational content improves member satisfaction and encourages participation. You're the trusted advisor of all your members. You sometimes golf pros are seen as Jedis out there that they can, they have all these special abilities to hit a golf ball relatively straight.

So, you know, they're going to lean on you for all this information. So you can use ChatGPT to quickly become a publisher of valuable content to earn the trusted advisor title. Example prompt for this would be write a blog post on the key to a consistent golf swing, how to improve your tempo and balance. Pro tip for this one here is use ChatGPT to generate FAQs on swing mechanics, short game strategy, and mental focus for your members.

Clayton Elliott (21:47)

That's a really, really useful application. And number 10, generate club fitting recommendations. This is another revolutionizing way that golf pros can tap into chat GPT to really wow their members and their clients and just.

Brad (21:50)

Big 10.

Clayton Elliott (22:07)

blow them away with service, right? Chatchat BT can suggest equipment based on swing style, speed and preferences, right? This essentially makes it club sales in your pro shop more efficient, easier to close.

It's just, it's so much better when you can write something that sounds professionally prescribed.

that can meet certain specifications that can then be fulfilled in your ProShop.

It's it's an extension of it's the service being extended to its max for the client, for the member. But the end result is also more sales in your pro shop. So, you know, the example prompt of this would be provide a driver shaft and head recommendation for a golfer with a 90 mile per hour swing speed who struggles with slices. You give it something like that and it's going to give you back.

some options. So pro tip for this is use AI generated fitting guides to help members make data driven purchasing decisions in your pro shop.

Brad (23:29)

That's a good one. And again, you're always going to need the human touch there. your golfer is also, they come in with this predetermined idea of outfitting and what they should be using. Because I've used information before that I've, you basically, you're using launch monitors. I'm sure this eventually you could pump in launch monitor data into chat GPT and have it analyze that and then provide shafts based on that. But again, there is the human element, right? So there's the human element and the individual

Clayton Elliott (23:55)

Sure.

Brad (23:59)

you can fit, I've literally fit dozens of guys where I've had them dialed into the perfect golf club and they're like, I don't think I like it. And the data's all there for them, it's mind blowing. You're like, no man, you're carrying it 20 yards further. Like it's literally going 20 yards further in the air and they're like, I don't like the flight, I wanna hit a little lower. And you're like, all right, all right, that's fine. But what I could really see this being super useful for is somebody who's newer, who doesn't necessarily.

who hasn't done a ton of fittings and isn't an expert in their field, they can get a quick jump on things and it would pump out some recommendations about shafts and head combos so they could go get those from their fitting cart and then actually bring it to the member and be like, look, I put together all of these for you. And the member's like, whoa, that's great. You have all these options. This is amazing. So yeah, there's definitely a use for it. Number 11, plan golf clinics and member engagement events. Instead of spending hours brainstorming event ideas, let ChatGPT generate

Clayton Elliott (24:46)

Yeah, that's great.

Brad (24:57)

creative golf clinics, demo days, or junior camps to boost participation. It can plan, schedule, and organize the events. It can generate every written asset needed, basically. Example prompt for this would be suggest a golf tournament for various skill level parents and children and include engagement activities. So pro tip here, use ChatGPT to create event promotional flyers and email campaigns to maximize participation. This one could be super.

useful once again for newer golf professionals or for you know if you're kind of stale with tournaments and you're you're not really sure of ideas and you're looking to drum something up this could really help spark some fresh ideas for you.

Clayton Elliott (25:41)

Number 12, can use ChachiBT to write sales copy for Pro Shop promotions. You can use it to craft promotional messages for new club arrivals, new gear arrivals, new apparel, or any holiday sales you have going on that could entice your customers. An example prompt for this would be write a promotional email for our Pro Shop spring sale featuring discounts on drivers, wedges, and putters. Pro tip for this, generate multiple

add variations once again to test engagement rates across email and social media. once again you get your A B tests should always at least have to your control then you and then your your variable and so you have to have multiples but to you know two different emails you can send to different groups or two different posts on social media. So it's going to be testing see what converts better.

Brad (26:21)

Mm-hmm.

Yeah, agreed, that's good use there. Number 13, answer golf rules and etiquette questions. So golf pros are constantly asked about rules and etiquette and they should know about this stuff and you should have your rules book with you. Very important to know these rules and have them in front of you. But if the answer is going to be the same every time you can use ChatGPT to create an outline, you can customize to your needs. Then share that with all members for their reference.

ChetGPT can provide quick and accurate answers with references to official rule books. So it's pretty phenomenal. In that case there, it can dig into these databases and pull, you know, references and guides and all that good stuff. Example prompt here, summarize the USGA rule on unplayable lies and when penalty strokes apply. Pro tip here, compile a member friendly rule book FAQ using ChetGPT for quick reference. I know we've made little bag tags in the past.

for various groups with kind of a cheat sheet. So you could use ChetGPT to do something like this, you know, for various scenarios, especially if you have certain rules at your course that are different from other courses. There's always, they're called local rules, clay, so you know, course specific things. You might have like a big wire that overhangs one of the holes that if you hit it, right, you don't take a penalty, you just re-hit. So local rules like that could be.

pumped into chat GPT and then added to the final product that it pumps out.

Clayton Elliott (28:09)

That's a very good use case. getting an idea. I'm going to go off script for a second here to just share this idea, to get it on the record. We can create for your club endless QR codes. And so we could take QR code stickers, throw them on the bumpers of all your golf carts, tiny little tastefully sized QR code sticker on the...

Brad (28:14)

Yeah.

Mm.

Clayton Elliott (28:36)

the dash of the golf carts or the side of the golf courts. Anywhere and everywhere you would think to put them on the greens. Anywhere that's tasteful and you know, people could also throw a sticker or like a keychain kind of thing. Essentially anywhere we can have this QR code, you can also just email it to people. They can have it their records and email save. But if they scan it, a phone number comes up and then they just call it.

And they can just ask it questions. can ask, this wouldn't be a chat GPT. This would be our advanced, our advanced mode voice AI, but we could feed it all of this member friendly rule book with the local rules and the international rules and everything, put it all in as a reference guide. Again, thousands and thousands of words. could, we could get into this thing.

Brad (29:15)

Yeah. Yeah.

Clayton Elliott (29:30)

If anybody was playing and they had an issue or they had any questions or two guys are debating on the green about what's the appropriate rule, they say, let's call the member friendly rule book line and they can just scan it right there. And this is an idea. The scan could pop up a website. The website could have multiple different phone numbers for different purposes, or you could have a different, you don't want like a whole bunch of QR codes.

Brad (29:38)

Mm-hmm.

Clayton Elliott (29:54)

slapped on everything with stickers. It's not exactly what you But if you had one QR code that went to a website and on that one webpage, it just said, member friendly rule book FAQs and two or three or four central complaint line, whatever, four or five or six or seven hotlines that the specific hotlines that we could create for your club. Then people can.

Brad (29:56)

Yeah.

Totally. Totally.

Mm-hmm.

Clayton Elliott (30:17)

just scan the QR code wherever they see it, pick the proper line they need to call for their purposes, dial it, and then they're going to get the appropriate AI receptionist on the phone for their needs. And one could be, hey, me and my playmate here, we're debating about what's the proper appropriate rule. And the box says, OK, tell me your issue. What's your concern? And you can just say it in your own language.

I think it's this, but my, my, my, you know, my, what do you say? What do you call it? Ball partner. There you go. My ball, my ballpark. I don't know the terms.

Brad (30:50)

playing partner.

Yeah, playing partner.

Clayton Elliott (30:55)

My playing partner here, he thinks it's this what's was correct. You're on speakerphone and the bot will go, well, you're wrong, Johnny. Jimmy's right. Jimmy, let me explain why Jimmy's right. And then you go in and proceed to explain what the rule is. And you know, this thing is just referencing the manual that it's been programmed. The only thing it's programmed to do is know this manual.

Brad (31:05)

Yeah.

Clayton Elliott (31:17)

and be plugged into it and then be able to recall it really quickly and reference it. again, we'd have to test it out and see how it work and how accurate it would be, but I'm pretty sure this could be a very simple setup for a simple advanced mode voice AI, Ace Call AI setup. Cool. Number 14, draft player development programs. So this is similar to the new

Brad (31:36)

Really cool, love that.

Clayton Elliott (31:44)

when we mentioned earlier regarding different lesson planning. Yeah, right. You could offer structured six week or 12 week player improvement programs using ChatGPT to organize progress tracking and drills. you know, not drafting every word from scratch for this will save you hours of time. Like many things here, the property could use just be created 12 week.

Brad (31:48)

like lesson planning.

Clayton Elliott (32:11)

Advanced Player Development Program focusing on distance control, mental resilience, and tournament preparation.

That alone, that prompt alone will give you a considerable asset to work with and chew on there. An approach for this, use ChatCPT to track player improvement and adjust drills based on progress. If you keep giving it updated numbers and over time it's seeing what the numbers are, it can start giving you customized recommendations to adjust the drills based on the trajectory of your client or your member.

Brad (32:45)

Phenomenal, love that. We're gonna shift here for the rest of these, I believe, to food and beverage managers. So this is to help you out with issues, you know, enhancing your guest experience and efficiency. you know, the dining experience is a critical part of your golf club, let's be honest here. And you can use ChatGPT to streamline your F &B operations and improve customer service. So here's seven ways golf club food and beverage managers can leverage ChatGPT to work smarter.

and faster while increasing your member service.

Clayton Elliott (33:18)

Cool. Yeah. Number 15 is create weekly or seasonal menus. Instead of manually crafting menus, every time you want to update one, can use ChatGPT to generate seasonal dish ideas, wine pairings, and healthy options that cater to member preferences and dietary requirements. Example prompt for this would be generate a winter menu with hearty comforting dishes and a suggested wine pairing as well. tip for this use ChatGPT to personalize menus based

member feedback and dining trends. If people take the time to tell you what they want to see in the menu and you're capable to integrate that into future menus, it's another great way to get buy-in for members when they realize their input is valued enough to be considered for menu preparations for a whole golf club.

Brad (34:08)

everyone there. Number 16, automate reservation and event planning emails. So ChatGPT can draft confirmation emails, reminders, and personalized invitations for F &B events, ensuring seamless communication. Example prompt for this would be draft an invitation email for upcoming wine pairing dinner, including event details and a call to action to RSVP. Pro tip here.

You can automate email sequences for follow-ups and thank you messages after events that would save so much time.

Clayton Elliott (34:43)

Yeah. Number 17, write job descriptions and training guides for staff. So again, the overarching general manager can do this to make policies, procedures, protocols, SOPs, different training manuals, the F and B staff and managers. So the F and B managers can use this to really dig in and make specific training for, I guess we call it,

hospitality staff. if you're hiring in new team members, you can use this detailed job descriptions, interview questions, even when you're interviewing someone, you can use this to get a detailed list of questions to qualify interviewees and new candidates. And then again, make the detailed training manuals to maintain consistency in hiring and training. An example prompt for this would be write a job description for a banquet server, including key responsibilities and qualifications.

to create a standardized onboarding process for your new hirees as well, and well, using an AI generated training material and role specific guides.

Brad (35:54)

Nice, like that. Number 18, generate social media content for the restaurant and bar. Engage members with mouth-watering images, drink specials, and upcoming event promotions to drive foot traffic. Example prompt for this would be write a social media post promoting our new summer cocktail menu featuring refreshing flavors. Another pro tip here, use AI to generate hashtags and captions that increase engagement and.

Clayton Elliott (36:26)

Cool. Number 19, create wine and food pairing suggestions. You can use ChatGPT to create suggested wine pairings for meals, elevating the dining experience for members and guests. It kind of takes the thinking out of it. And you can just give it a prompt like, suggest a wine pairing for a seafood platter that enhances its flavors. So a pro tip would be offer weekly wine pairing specials and use AI to provide tasting notes for each pairing.

Brad (36:53)

Fancy one there. All right, number 20, develop cost effective food inventory plans. This is a good one. I know there's a lot of food wastage that can go on at golf clubs. Chat GPT can assist with menu cost calculations, portion control, and supplier comparisons to maximize margins and reduce waste. Example prompt for this would be analyze the cost effectiveness of our current appetizer menu and suggest alternatives to optimize food costs.

Pro tip here, use ChatGPT to forecast ingredient usage and prevent over purchasing. Awesome.

Clayton Elliott (37:30)

Yeah, that's a powerful application. That could be a build where we could build agents and employees to do this for you. I'm not going to even try to speculate how long that would take or what that would involve, but I know it's a big, it's a big, if every club could shave tens of thousands of dollars off their food and beverage inventory.

Brad (37:37)

Yeah.

Mm-hmm.

Clayton Elliott (37:59)

management, it would be a very powerful use of AI in golf clubs. And so to wrap it up here, number 21, last but not least, is improve customer feedback and review responses.

So this is just a general one. isn't, doesn't really fall under the food and beverage, although it could be focused in food and beverage, but you can use chat GPT to craft polished and professional responses to guest reviews and feedback, maintaining a positive reputation online. for example, prompt rated response to a positive review, complimenting our steak dinner and excellent service.

With this one, actually have a software in our utility belt.

that can help you get more and better Google Maps reviews from your guests and from your members. And it can even keep following up periodically until it gets a review. If they leave a five-star review, it has sentiment analysis abilities, so it knows that someone enjoyed themselves. And it can leave a response automatically with our Content AI tool.

to thank them. a five-star review, the bot would respond saying, thank you so much for your positive review. We're so happy that you had such a great experience at our golf club. We look forward to seeing you again there soon.

If it's a three star review, it knows the person is not happy, not unhappy. can say, we're so sorry. They didn't have a spectacular experience at our club that, you know, earned us a three star review. We'd love the opportunity to make it better for you. Please do get in touch with us and give us a call at this number. We'd love to have a chat and see if can give you a five star experience.

And then if it's a one-star review, they know someone would be really upset with them. It can automatically respond and say, we're so, so sorry. Someone dropped the ball and we really want to make it up to you. it's about reputation management. It's about public perception of how you're responding to reviews in your online platform. So instead of having to do that manually, keep going back and checking every time you get a review and I would respond. This is something that can be done automatically with AI in the background.

So, you know, really that's it. would say.

Brad (40:26)

Awesome.

Clayton Elliott (40:32)

Well, AI, it offers numerous advantages and benefits, as you'll hear us speak of quite often. It's really important to implement it all responsibly. What considerations should managers keep in mind, Brad, to implement AI responsibly?

Brad (40:50)

That's a good question. Managers should recognize that while AI is a powerful tool, it requires human oversight. And we keep touching on this. Content generated by ChatGPT should be reviewed and edited to ensure accuracy and appropriateness. Additionally, training staff to effectively use AI tools is crucial for maximizing benefits.

Clayton Elliott (41:12)

Yeah, it's about striking a balance between automation and the personal touch that members value, that they expect, and that they require for that high touch.

Brad (41:15)

Yeah.

Clayton Elliott (41:28)

luxury golf experience, That's what they're used to. And ensuring data privacy and maintaining transparency with members about AI usage. This is also a very important key factor in building trust.

Brad (41:43)

Thoughtfully integrating AI clubs can enhance efficiency while preserving the personalized service that defines their brand, right?

Clayton Elliott (41:51)

Yeah, exactly. So we can wrap there. would say to experience, if you want to experience, if you want to get a feel for how AI can transform your club's operations, and if you also would like to get your hands on the ChatGPT prompt resource.

template, prop template resource that we've created. Please just give us a call and test drive our voice AI receptionist. Give us a call toll free 1-866-838-8581 again 866-838-8581.

Ask for the resource mentioned in episode 17. And if you want, can book a demo call with us today and discover how our solutions, our AI solutions can elevate your club's efficiency, effectiveness and overall member and staff satisfaction. And that's about it.

Brad (42:52)

Join us next time as we explore how to increase membership retention in a competitive market. We already have those members at our clubs. Now, how do we keep them there? Once again, I'm Brad Milligan.

Clayton Elliott (43:07)

And I'm Clayton Elliott. We'll see you next time on the Ace Call AI podcast where we help golf club managers win with AI.
